How Indian gyms can use WhatsApp for renewal reminders, fee follow-ups, enquiries and offers, with message templates and rules to avoid being annoying or blocked.
In India, WhatsApp is how your members talk to everyone, including you. Used well, it is the cheapest and most effective tool a gym has for renewals, fees and enquiries. Used badly, it gets your number muted or blocked.
This guide covers what to send, when to send it, and how to keep it personal.
Hi Priya, your Monthly plan at Iron Temple ends on 15 Nov. Renew at the desk or by UPI to keep your streak going. See you soon!
Hi Arjun, a balance of ₹1,500 is pending on your Quarterly plan. You can pay at the desk or by UPI any time this week. Thanks!
Hi Kavya, we haven't seen you at the gym for a couple of weeks. Is everything okay? If your timing has changed, tell us and we'll help you fit training in.
Hi Neha, thanks for visiting Iron Temple yesterday. Our Quarterly plan is ₹4,000 and this week the admission fee is free. Want to come in for a free trial session?
Keep every message short, use the member's name, and include one clear next step.
Broadcasts sent to hundreds of people at once feel like spam and are more likely to be reported. A message sent from the gym's number to one person, with their name, plan and date, feels like service. One-tap messages, where the software writes the text and opens WhatsApp for you, let a receptionist send 30 personal reminders in ten minutes.
Festival offers, new batches, holiday timings and challenges are good reasons to message all members. Make them useful:
Diwali timings: the gym is open 6 am to 12 pm on 1 Nov. Happy Diwali from all of us at Fit Zone!
If a member asks you to stop sending offers, stop. Keep reminders about their own plan and fees, but leave them out of promotions. Being respectful keeps your number trusted.
For most independent gyms, the free WhatsApp Business app is enough: a business profile, quick replies, labels and your catalogue of plans. The paid WhatsApp Business API makes sense when you need fully automatic messages at large scale, but it costs money per conversation and needs approved templates. Start with one-tap messages and move to the API only when the volume demands it.
Kettlehive's reminders card lists exactly who to message today (plan ending soon, fees due, not seen in two weeks), with the WhatsApp message ready to send in one tap. Try it free.
