Comparing the three ways Indian gyms track attendance: paper registers, fingerprint machines and location-checked phone attendance. Costs, accuracy and what to choose.
Attendance tells you more about your gym than almost any other number. It shows your busy hours, which members are losing interest, and whether people are training on expired plans. But it is only useful if it is accurate and easy to collect.
There are three common ways to track it. Here is how they compare.
How it works: members sign a register at the desk.
Pros: free, simple, no training needed.
Cons: easy to skip or fill in later, impossible to search, no link to fees or plans, and the data is lost when the register is full. You can't easily answer "who hasn't come in two weeks?".
Best for: very small gyms just starting out.
How it works: members scan a finger or face at a device near the entrance.
Pros: accurate, hard to fake, quick at the door, and can control a turnstile or door.
Cons: costs money to buy and maintain, needs every member enrolled, fingerprints fail for some people, and the machine's software often doesn't talk to your fees and plans. Many gyms end up with attendance in one system and payments in another.
Best for: larger gyms with access control at the door.
How it works: members open the gym's app on their own phone and tap "mark present". The app checks that the phone is actually at the gym, within about 100 metres of the gym's pinned location, and allows one check-in a day.
Pros: no hardware, nothing to maintain, can't be done from home, and it is part of the same system as plans and fees, so an expired plan or unpaid dues can be flagged automatically. Members also see their own visit history and streaks, which motivates them.
Cons: members need a smartphone with location turned on, and GPS can be less precise deep inside some buildings.
Best for: most independent gyms that want accurate attendance without buying hardware.
Collecting attendance is only half the job. Use it to:
Yes. Some gyms keep a biometric machine at the door for access and use phone attendance for members who forget to scan. The important thing is that attendance ends up in the same place as plans and fees.
If you are starting out or don't have a biometric machine, phone check-in with location is the easiest accurate option. If you already have a fingerprint machine, keep it, and make sure its records can be imported into your main software so you see everything in one place.
